Before you setup
What’s a spot?
A spot is a private communication network for your organization to connect with all it’s employees. You can create a spot for your entire organization, a business unit or even a team.
Here’s some basic information you should go through before configuring your spot.
The People
A spot is comprised of the following people - admins and users.
Admins:
The admins are in charge of setting up the spot, customizing it, adding users, creating groups, broadcasting communications, creating apps and more. Admins can do all this from the admin dashboard.
Users:
Users are typically employees who join your organization’s spot. Users will receive and be able to act upon communications from the admins, connect with their peers via chats, access work-apps and more.
Communication Models
The communication model you choose will define how your employees will be able to use the employee app. You can configure your spot to create two types of communication models for your organization - Top-Down and Bi-Directional.
User Validation
Groupe.io offers you multiple options to validate users and add them to your spot. You can validate users using their mobile number, email address or a combination of both. You can even set email domain filters. Here’s how you can decide the right option for your organization.
All my employees have a corporate email address
If all employees have a corporate email address, we recommend that you validate using email domain filters. This will mandate users to join the network after validating their corporate email address.
All my employees don’t have a corporate email address
If your organization has non-desk/temporary employees who don’t have corporate email addresses, you can validate using mobile numbers, email addresses or both. Pick the option (mobile number or email address) that your internal systems store.
User Registration
There are two ways to invite and register users to your spot. You can decide to choose only one of the options or to go ahead with both.
You invite them:
You can send invites to your employees to join your spot, either one at a time or in bulk using a csv. Invites can be sent via SMS or Email depending on the validation option you’ve chosen.
They add themselves:
Users can add themselves to the spot by either scanning a QR code using their smartphone or by entering an invitation code. You can configure the spot such that your approval is required before a user is added.

Add your branding
The branding page lets you add your logo and a cover image to your employee app.
Configure social settings
The social settings page lets you define the communication model. You can enable/disable chats, user posting and user engagement on admin posts from here. To setup the top-down model, tick all three options. Tick none for the bi-directional model.
Manage user registration
The user registration page is where you can define how you want to validate users. Choose one of the four options to suit your organization.

Creating a group
To create a group, go to Spot > Groups > Create new group. Fill up all the fields, select the access level and group type and click on “Create”.
Adding members to a group
To add members to a group, go to Spot > Groups > All Groups. You will see a list of groups in the spot. Click on the dotted line and select “Add Members”.
In addition to adding members, employees can join themselves or send you a join request, depending on the group type.
